[Ucwsfiscal] Monthly UC WS and Fiscal Meeting

Hi all.
It came to my attention that each school is supposed to host the monthly meeting for 6 months. Davis started in March so we are supposed to hand this over to another school. Please let me know if you would like to be the next and when you can start. It's a little too late for Davis but I suggest the next hosting school creates their own meeting series to avoid what happened yesterday.
Additionally, I believe UC Merced manages the email list so if you want to be removed, please simply send an email to this list. I got a request from Christine Camicia ccamicia at ucsc.edu<mailto:ccamicia at ucsc.edu> - Arvin can you please remove her?

Subject: Notes from 12/12/2024 Meeting about Federal Work-Study
Thank you all for joining yesterday's conversation about federal work-study. Below is a summary:
1. Discuss WS funds escheatment issue with UCPath Center - OP, Berkeley
* After UC schools transitioned to UCPath, a process to handle Federal Work-Study stale checks is not established.
* About a year and a half ago UC Berkeley Financial Aid office received a list of stale checks that includes federal work study earnings. Some checks were from 2020. Another analysis was going to be conducted to identify additional checks.
* JIRA-139990 (is this the right number?) is working on garnishment
i. Team discussed the possibility of solving escheatment issue alongside the garnishment issue
ii. UCPath GL team staff Shubitha Raj will connect financial aid office with payroll team that is working on this JIRA
iii. Financial Aid staff reiterated that escheating of FSA funds is prohibited and FWS earnings are not subject to garnishment
ACTION ITEM: Berkeley and OP staff please follow up with Shubitha and Li Tran to connect with the right UCPath team who handles this topic.
1. Further discuss and finalize WS Award Table Effective Date issue - all
* We unfortunately didn't have time to discuss this topic. UCPath Center IT lead Chie Tuller will schedule a separate meeting to discuss.
* Davis voiced concerns to change effective date to the most recent update date every time there's an update due to it's unique configuration for GSRs. Previously, Davis asked if it is possible to add a field to the table.
ACTION ITEM: Chie please schedule a meeting.
1. Status update from UCPath Center on allowing WS Award Balance go negative - Chie
* After a year-long request and multiple discussions, all campuses agreed/approved the request.
* A few highlights of the change: 1) we will only allow balance go negative as a result of I159 submission; 2) when new award becomes $0, only "Remove WS" will be allowed in SCT. Otherwise, "Reapply WS" is also allowed.
ACTION ITEM: UCPath IT team initiate the change, allow financial aid offices to test and then implement. Financial aid offices will follow up via the monthly meeting.
