Colleagues,
As we approach the spring 2022 mid semester mark, we’d like to provide you with some friendly reminders regarding student workers.
AUTO TERMINATION
* Student jobs AUTOMATICALLY end on the day listed in UCPath unless the appropriate action is taken to extend<https://bfs.ucmerced.edu/form/student-rate-change> their appointment.
* Once the job terminates, the student will no longer have access to TRS to submit time for the terminated job.
* If the resulting job termination also ends their UC employment relationship, they will no longer have access to UCPath to review earning statements, update contact information or other UCPath online services without creating a “former employee” account.
REINSTATEMENT
* Reinstatement of a job may take 10+ business days (from the date of request to reinstate<https://bfs.ucmerced.edu/form/student-rate-change>) and may result in a delay of payment and access to other employment associated systems, which may also impact their ability to perform the duties of their position.
* A reinstatement may only be requested if the record terminated less than 30 days from the submission of the request, provided the student has continued to work with no break since the job record ended.
* If the student has not worked or it is after 30 days from the job end date the student must complete rehire documents.
* Note: A Student Intake Request must be submitted, and the student may not perform services until the “Clear to Work” notification is provided.
EARLY SEPARATION
* Students who stop providing services prior to the UCPath job end date, regardless of the reason, should be separated<https://bfs.ucmerced.edu/form/student-separation-non-academic> immediately.
* Final timesheets related to the job should be submitted and approved by the supervisor immediately.
Please review the UCPath Cognos reports indicated below and determine if your student’s position requires the submission of a separation<https://bfs.ucmerced.edu/form/student-separation-non-academic> or job extension<https://bfs.ucmerced.edu/form/student-rate-change> request. Please note requests should be submitted no less than 10 days in advance of the job end date.
R-103 – Job with Approaching End Dates
This report provides employee job records scheduled to end within 90 days of the report run date.
R-384 – Escalation Reminder of Approaching End Dates
This report provides employee job records scheduled to end within 10 days of the report run date.
R-120 – No Payroll Activity for more than 120 days
This report provides job records that are currently active in UCPath but have had no pay activity within 120 days prior to the report run date.
If you do not have access to the UCPath Cognos reports, please work with your department representative to assist.
