[Studentemployment] Important UC Merced Payroll Services Change

Colleagues,

Effective July 27, 2021, a new UCPath system change will prevent certain personnel transactions from being processed during points in the payroll calculation process.

What does this mean to you?

Transactions such as extend appointment, update pay, reclassification, FTE adjustment and Short Work Break cannot be processed during the “UCPath Freeze” dates for employees whose primary pay schedule falls during that cycle (monthly vs bi-weekly).

An updated UCM Transactional and Time & Attendance Deadlines<https://bfs.ucmerced.edu/sites/bfs.ucmerced.edu/files/page/documents/transactional_and_deadlines_2021_campus_revised_7.20.21.xlsx> calendar reflecting these freeze periods has been updated on our website<https://bfs.ucmerced.edu/payroll-services>.  Please be mindful of these freeze dates when considering transactions that have significant employment or pay impacts (appointment extension, short work break).
Please note that off cycle (rush) payments may be delayed should the employee’s record need to be updated before a payment request can be processed (ex. Increase in FTE resulting in owed pay).
Department representatives are reminded that the UCPath Cognos report R-103 contains upcoming appointment end dates and should be referenced regularly to ensure action requests are submitted timely to UCM Payroll Services to avoid adverse employee impacts.

 Transactions that can continue to be processed during freeze periods include:
·         New/Re-Hires (may be held by UCPath Center during the freeze if the action will impact the payroll processing cycle, creating a delay in record activation in the UCPath system)
·         Extended Absences
·         Funding – Initial or modified
·         Direct Retros
·         Time & Attendance (TRS) updates
Transactions received but cannot be processed due to a freeze period will be processed within 3 business days of the freeze lift period or as quickly as possible depending on UCM Payroll Services transactional workload and staffing considerations.
