Thank you for your continued patience as we have been working to provide clarification and guidance regarding our on-campus student workers impacted by the COVID-19 pandemic.
Student Employment Services is committed to providing the same level of exceptional customer service during this time and offer the following reminders and updates:

Supervisors (or department representatives) are encouraged to be resourceful in utilizing this workforce where possible, including reaching out to peers across campus to help connect displaced student workers with departments actively recruiting or other available work.
* Student workers are eligible to receive paid administrative leave related to the pandemic, as indicated in President Napolitano’s executive order<https://ucnet.universityofcalifornia.edu/news/2020/01/executive-order-re-paid-administrative-leave-03-16-20.pdf>, and have an allotment of 58 hours of COVID-19 paid administrative leave for use across ALL active jobs.
* Use of the provided leave should be:
* in alignment with one of the reasons provided in the order;
* approved in advance of use by the employee’s supervisor;
* cover “pre-scheduled” or “regularly scheduled” hours the individual would have worked had they not been impacted by the;
* reported on the individual’s timesheet using the code “Paid Leave(COVID)” in the Time Reporting System<http://uctrs.it.ucla.edu/> (TRS)
* Hiring of new student workers is being facilitated remotely. While the UCSCIS has temporarily relaxed its requirements related to work authorization verification, it is still required before an individual can perform services for the university. At this time, the completion of hire intake documents is at or exceeding three business days (not including entry to UCPath) due to complexities caused by the remote nature of the process. Student workers should not begin performing services until the hiring manager has received notification from Student Employment Services that the employee has successfully completed all hiring requirements.
* Financial Aid issued notice on March 25, 2020 restricting new Federal Work Study hires through the end of the 2019/2020 academic term. As such, Student Employment Services will not accept job postings indicating FWS, nor will we be able to facilitate an intake session for a worker who presents a new FWS contract.
