Hello all SoE Faculty,

We hope you have all had Happy Holidays! The January Newsletter is here with some new information and reminders.

Spring GSR and TA Appointments:
The Spring appointment deadline for GSR and TA positions was on November 15th. By this point, if you have made submissions, please note that the students will be paid late as the APO deadline for January pay has already passed. Additionally, please submit any last-minute funding ASAP to soe-grstaff at ucmerced.edu<mailto:soe-grstaff at ucmerced.edu>.

New students and faculty who have questions or changes regarding their funding appointment and status can reach out to soe-grstaff at ucmerced.edu<mailto:soe-grstaff at ucmerced.edu>.

Timesheet Submission During Winter Curtailment:
GSR's do not have a service period and are expected to perform services on any working day (Monday through Friday) that they are on pay status (except paid holidays).  GSR's that do not perform services on 12/26, 12/29, or 12/30 may use any of their 5 GSR PTO days available to them for the fall semester payroll period of 8/16/25 through 12/31/25.  If they have already used all their GSR PTO days, they must record LWOP for those three days in an increment of hours that aligns with their appointment FTE (50% FTE = 4 hours).  The earnings for each day of LWOP reported will be deducted from their January earnings.  Any leave available because of the Spring 2026 re-appointment is not available to be used for the fall appointment.
ASE's (TA's and TF's) have a service period that aligns with the semester start date of 8/20/25 and semester end date of 12/23/25.  ASE's are not expected to work outside of their service dates even though their payroll appointment period is 8/16/24 through 12/31/24.  As 12/26, 12/29, and 12/30 are outside of the service period, we would not expect to see any short-term leave or LWOP recorded on those three days.  Short term leave (3 days available for fall semester) or LWOP should only be recorded on any working day (Monday through Friday - except paid holidays) that falls during the service period, where the employee did not perform any services.  Leave use should be reported in an increment of hours that aligns with appointment FTE (50% = 4 hours).  The earnings for each day of LWOP reported during their service period will be deducted from their January earnings.  Any leave available because of the Spring 2026 re-appointment is not available to be used for the fall appointment.
Graduate Visitation Day:
Graduate Visitation Day will be held on February 27th! Please confirm with our team if you will be participating!
