Colleagues,

As we quickly move towards curtailment and the new year, Student Employment Services would like to share some important updates and reminders.

CLEAR TO WORK NOTICE

Students may not begin working until they have received a “Clear to Work Notice” from Student Employment Services. This notice is verification that the student has completed all necessary employment documents required by federal and state law(s). The student’s direct supervisor is copied on the notice. Failure to complete all applicable hiring documents before stating service may result in delay of pay to the employee and risk of fines and/or penalties to the employing department.

WINTER BREAK HOURS

Students may work up to 40 hours per week starting December 17, 2022 and must return to the maximum 18 hour work week on January 17, 2023. Students graduating in December may continue to work through the winter break, but must separate with an effective date no later than January 17, 2023.

MINIMUM WAGE

Effective 1/1/23 the new minimum wage in California will be $15.50. The adjustment of any student earning less than the new minimum wage will be automatically increased effective 12/25/2022 in accordance with UC mandate. No action is needed by the department.

Adjustment above the new minimum requires submission of a rate change request<https://bfs.ucmerced.edu/form/student-rate-change>. An updated 2023 student job pay scale can be found here<https://studentjobs.ucmerced.edu/sites/studentjobs.ucmerced.edu/files/page/documents/student_assistant_pay_schedule_-_2023.pdf>.

JOB EXTENSION

Extension requests<https://bfs.ucmerced.edu/form/student-rate-change> for jobs ending during the curtailment period must be received no later than December 9, 2022 to avoid auto termination during the break. Please work with your department representative to determine student job end dates.

Note: Job extension and rate change may be submitted as a single request via the Student Rate Change and/or Job Extension<https://bfs.ucmerced.edu/form/student-rate-change> form.

EARLY TIMESHEET SUBMISSION FOR BIWEEKLY EMPLOYEES

To accommodate processing of the bi-weekly checks that will issue on January 4, 2022, it is necessary for bi-weekly paid employees to submit timesheets for the period of 12/11/22-12/24/22 earlier than the regular submission date.

Timesheets for the above indicated period will be due for submission by employees no later than 12 pm on Monday, December 20th and should include predicted hours of work through December 24th. Supervisors should approve timesheets no later than 10 am on Wednesday, December 21st.

Additional campus wide communication will be distributed during the week of the early submission deadline.

Thank you for your continued patience and support.
