Good Afternoon,

Student employees may be eligible for a number of covered leave of absences under new UC and Federal programs. Please see the information provided below regarding UC Paid Administrative leave and the federal FFCRA program(s).

Please check the Student Employment Services website<mailto:https://bfs.ucmerced.edu/student-employment> often for updates.

Families First Coronavirus Response Act (FFCRA)
Student employees are eligible to apply for a leave of absence coverage under the Families First Coronavirus Response Act<https://hr.ucmerced.edu/sites/hr.ucmerced.edu/files/documents/covid-19-related-leaves-and-job-protection-guidance-for-chro.pdf> . Defining criteria for use of Emergency Paid Sick Leave and/or Expanded Family and Medical Leave can be found here<https://www.ucop.edu/human-resources/_files/covid-19-related-leaves-and-job-protection-guidance-for-chro.pdf>.
Student employees should complete the request form<https://ucnet.universityofcalifornia.edu/forms/pdf/employee-request-for-epsl-efml.pdf> and email it to Student Employment Services<mailto:studentemploymentservices at ucmerced.edu?subject=EPSL%2FEFMLA%20Request>. Once submitted; a Student Employment Coordinator will contact the student and supervisor with next steps; including appropriate leave coding in TRS.
Please note: Under FFCRA, reason 1; “An employee may not take EPSL for this reason if the University does not have work for the employee to do as a result of the quarantine or isolation order or other circumstances”

UC Provided COVID-19 Paid Administrative Leave
Administrative paid leave for undergraduate student employees is provided to cover pre-scheduled or regularly scheduled hours which cannot be worked due to their own COVID-19 illness or the UC Merced directive related to COVID-19, effective March 1, 2020.
Undergraduate student employees are eligible for a maximum of up to 18 hours per week of authorized paid administrative leave, based on the actual time they would have been scheduled to work if operations had not been interrupted. Hours may be used intermittently and must be used before December 31, 2020.
Undergraduate student employees who perform service (on campus or remotely) are required to report actual time worked in the Time Reporting System (TRS<http://uctrs.it.ucla.edu/>).
If utilizing paid administrative leave hours to cover pre-scheduled or regularly scheduled work time, use the designation "Paid Leave(COVID19)" in TRS.

           * A "self-tracking<https://bfs.ucmerced.edu/sites/bfs.ucmerced.edu/files/page/documents/admin_leave_balance_calculator.xlsx>" tool has been created to help student track leave use.
Continued Employment
Paid leave is intended to support the displaced student worker when work would have been available if the campus was operating under normal circumstances. As such, it is not expected that student employees who would not have otherwise continued to work through/beyond the end of the spring semester would have their currently active jobs extended/continued.
Student employees who have exhausted all available leave options should report zero hour timesheets until they are able to resume normal work or until their appointment ends.

Please feel free to contact our office<mailto:studentemployment at ucmerced.edu> if you have additional questions.
