Spring 2021 SAS Accommodations, by Drew Shelburne
Introduction – Welcome to 2021! As we continue into another semester taught online, the Office of Student Accessibility Services (SAS) is providing information and updates on services for students this semester. If you have a question about anything not listed here, please feel free to reach out to our office at access.ucmerced.edu
Accommodation Letter Delivery – At this point, faculty should have received the bulk of the accommodation letters for their courses. Please note that the accommodation letter is meant to serve ONLY as a notification. Any additional actions needed by faculty will be communicated in a follow up message.
Late Accommodation Letters – As always, faculty are not obligated to provide any accommodations until they receive the letter from SAS. If a student ever has a concern about this, please direct them to the main SAS contacts (access at ucmerced.edu<mailto:access at ucmerced.edu>) for help.
Online Accommodations – Spring 2021
- Online learning accommodations will continue to be supported through the Spring 2021 semester. While most have not had major changes, there is some new information we would like to share that should aid in making arrangements.
Exam Accommodations –
How to give students extra time on a quiz:
Go to the quiz's details page. Click the Moderate This Quiz link.
1. The quiz needs to be published in order to see this option.
2. Depending on screen resolution, the link may appear at the bottom of the page.
3. Locate the student's name and then click on the pencil icon button (last column of the table).
4. Enter the additional time needed in the "Extra time on every attempt" text field, and then click the Save button.
5. Do not enter total time. E.g., if a student needs 30 additional minutes on a 60-minute exam, enter 30 in the text field. Do not enter 90.
6. The additional time will be reflected below the students name on the "Moderate Quiz" table.
Note: This will need to be done for each quiz. There is no option to set a rule for all quizzes/exams.

Captions & Transcripts
While captions are critical for students who are Deaf or Hard of Hearing, they can benefit many students, regardless of disability. The information here is targeted to those instructors who want to increase the accessibility of their content in general. If you have a student enrolled in your class who has Captions, Transcripts, or an Interpreter as part of their accommodation, someone from SAS will be in contact with you.
Zoom
* How to access and edit after-the-fact transcripts <https://support.zoom.us/hc/en-us/articles/115004794983> that are automatically created for recorded meetings.
* Designate a Zoom meeting participant to type captions. <https://support.zoom.us/hc/en-us/articles/207279736-Getting-Started-with-Closed-Captioning#h_45f95867-9c71-4acd-888f-5a1475b4cd8e> This would be required if there was a hired, third party captionist.
* The Accessible Zoom Meetings page of the UCI Zoom Help Center <https://zoom.oit.uci.edu/accessible-zoom-meetings/> offers some helpful tips, beyond captioning, for using Zoom so that your remote online experiences are accessible.
Kaltura
Instructors' videos are automatically captioned, and the text can be downloaded as a transcript. The process for generating the automated captions can take a bit of time, but an email will be sent once the video's captions are ready. Kaltura provides the tools needed to make edits in their Video Editor. This can be helpful if you want to correct spelling and capitalization.

Google Slides
Did you know that Google Slides provide an option for real time automatically generated captions? These are only available in real-time and cannot be saved as a transcript.

PowerPoint
Like Google Slides, Office 365 PowerPoint has an option for real time automatically generated captions. These are also only available in real-time and cannot be saved as a transcript.

YouTube
If you are already using YouTube, you may find it easier to use their built-in caption creation and editing tools.
