Noah and Rui,
I sent four of these today to the companies who are officially on our list. I didn’t send yet to ETES or to Harvard or NREL. I was thinking that it might be useful to do the first four meetings and then see if we want to tweak the spreadsheet at all. Does that make sense to you? Harvard and NREL aren’t really putting together a product, so it will be difficult for them to define a reference system, I expect.

I could coordinate the meetings and people – otherwise with so many schedules, it could get complicated. I suggest making a few edits on your message before sending. For instance, for the Economic Info tab- we want to talk to a financial or business officer. I also think we should request to meet with them, even if they fill out the sheet in advance and give them the option of multiple 30-minute timeslots. If we are prepared to make a schedule in advance, then that also reduces email traffic for the respondents because they could select a time slot in one response rather than following-up multiple times. I attached some sample times that could work next week.
I recognize that you made contact with these companies first, so maybe it is good if you send this message, but yes they can schedule with me and Rui. But others are welcome to join. I suppose we need to decide if you all want to be a part of every call, then we need to coordinate schedules more in advance. Otherwise, I can schedule these meetings according to Rui and I’s schedule and others are welcome to join if they are available.

We are now ready to move into the next phase of our work and would love to meet with you to gather more data about your technology. We have assembled the attached spreadsheet. We know that each technology is different and the data fields may need to be modified to best describe your technology, so we would be delighted to meet with you to answer your questions as you fill in the information.
In the Excel sheet, there are three visible tabs: Read Me; Technical info; and Economic info. The Read Me tab provides a brief introduction of the project. The Technical info is designed for an engineer, and the Economic info is designed for a financial or business officer. Anyone who may help answer these questions would be great.
It would be great to meet with you to complete the attached survey. Please let us know if you can meet for one of the 30-minute blocks listed.

Hi Sarah,
Thank you a lot for the timely and valuable revision. With your edition, the form looks clearer. I am happy to share this revised Excel sheet with the Storage Advisory Board as a draft. I feel one person (Noah or I) can act as the coordinator. People outside the team can contact the coordinator to schedule meetings and people within the team can also join the meeting with the coordinator's help.

Could you please respond with an indication of when you think it would be most productive for us to meet with you? We know that you may not have clear answers to all of the questions, so would be pleased to conduct this more as an interview. Or, if you already have a well-defined product, you may find that it is easiest to simply fill in the spreadsheet and return it to us.
Questions:
• Shall we ask that they contact Noah to schedule the time of the meeting ? Or, If all of us would like to join, then we should identify times when we are available and list those options?
• I wrote the above hurriedly - I would plan to tailor each message according to what we already heard from each company. Is there anything you’d like to have added or that I should avoid saying as I craft those messages?
• Are you ok if I send the spreadsheet tomorrow - maybe labeled as a draft?
• I plan to copy all of you, but let me know if you’d prefer not to be copied.
• Given that we haven’t had time to finish discussing this draft, I could send the message about the workshop tomorrow and simply note that we have a spreadsheet that we plan to send sometime this month. Would that be better? Maybe I’m jumping the gun here…
